The Job


The incumbent shall be responsible for outreach and administrative matters, ranging from organising meetings, reporting preparation, company engagement ensuring the smooth and efficient running of office operations.


Dedicated and collaborate closely with a team of professionals who are passionate about maintaining high standards in office facilities management.

Reporting to the Chief Executive Officer, you will be responsible for creating a safe and pleasant environment for all stakeholders.

Duties & Responsibilities

  • In charge of the daytoday administrative functions
  • Planning reception of customer or overseas group officer who visit Singapore
  • Manage team building or organise staff event
  • Assist in the implementation of documentation system
  • Ensure proper documentation/filing of the policies, SOPs, contracts and reports
  • Collecting, organizing, and storing information using computers and filing systems
  • Take charge of all facility management matters such as identifying new office space, fixed asset inventories, office renovation, door access, phone system, printers, installation and relocation etc.
  • Manage contract, price negotiations and service performance with office vendors and service providers
  • Monitor due dates for renewal, termination of contracts and other followup actions
  • Facility, Lease and Landlord Management, including feedback on general property management and coordination among the different parties
  • Oversee other logistic matters, like transport, telecommunications, mail/courier services, hospitality for meetings, offsite storage and asset management
  • In charge of the procurement and administration of all office supplies, pantry supplies, assets, inventories as well as maintenance and repair of office equipment
  • Coordinate on all IT equipments to ensure readiness of all ITrelated infrastructure
  • Responsible of Bio-Metrics Facial scanner and Company Mobile Phone Management
  • Support with key executives with travel management, such as airticket, car rental, housing rental, etc.
  • Ensuring the office is stocked with necessary supplies and all equipment is working and properly maintained
  • Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations and training sessions
  • Overseeing special projects and tracking progress towards company goals

Requirements:

  • A good degree in any discipline from university
  • Ability to win collaboration and implement change
  • Demonstrates high attention to detail and strong organisational skills, maintaining high standards despite pressing deadlines.
  • At least 5 years' relevant work experience in providing office administration and secretariat support
  • Peopleoriented with strong interpersonal, verbal and written communication skills
  • Meticulous, selfdriven, able to work independently and as a team
  • Able to multitask and manage requests effectively
