We are seeking an energetic and results-oriented Project Administrative Assistant who coordinate all project activities. Responsible for scheduling regular meetings, creating and updating procedures, ensuring that all projects meet quality standards and deliver on time. Project Admin duties include maintaining relationship and communicating project activities to project site for scheduling meetings, recording decisions, and breaking projects into manageable tasks. Update workflows and analyze risks, handling of all incoming telephone calls and others.
Roles & Responsibilities
Project administrator's job is to support project managers and ensure projects run smoothly by handling administrative tasks:
Project management: Support project managers by managing schedules, preparing for meetings, and taking meeting minutes.
Project documentation: Manage project documentation, including preparing documents for permits and ensuring it's available to all relevant parties.
Project reporting: Prepare project reports and update project managers on progress.
Project budgets: Assist with compiling and overseeing project budgets, and ensuring expenditures are within budget.
Project risks: Ensure data collection of project risks is identified and handled appropriately.
Project communication: Maintain communication with project team members and production team.
Project resources: Liaise with contractors and suppliers to ensure the project has the necessary resources.
Project quality assurance: Ensure the team complies with required regulations.
Project contracts: Manage contracts and process paperwork.
Project invoicing: Ensure invoices and payments are processed properly.
Skills & Requirements :
- Minimum 1 years of working experience preferably in a Retail fit-out/Commercial interior design firm.
- Knowledge in interior designing will be and added advantage
- Ability to work as a team and independently
- strong interpersonal, oral and written communication skills
- Basic AutoCAD and Microsoft office.
