Consolidation of documents for Job done Including Matching and checking all clearance documents (CFS receipt, delivery DO, supporting documents) Scanning of documents accordingly once vetted by the controller in case of missing documents/additional last minute jobs after office hours etc. Upload and recording of uploads done including all pending folders and follow-up with recently created folders Update Whatsapp group to include fleet job schedule list Follow-up with billing department on documentation query/doubt, email record, delivery/driver record, and communication record. Scanning of PODs collected for the day upon receipt Updating fleet outlay, to match actual expenses from petty cash book and to ensure original/copies provided for CFS receipts, carpark receipts, and misc expenditure receipts. Customer service Taking note of and replying/following up with customer emails with regards to POD, urgent jobs, upcoming jobs, driver details,necessary job requirements, delivery time, etc. Answering calls from customers with regards to similar as above. Follow-up with job schedule for special arrangement jobs Fleet assistant Supporting controller with distributing jobs files Take over the Fleet controller when he is away Supporting controller with updating of next day/upcoming jobs/KD clearance on Job sheet. Daily Checking of Emails and follow-up with select customers on daily clearance and damages accordingly including next-day delivery arrangements for bookings. Coordinating and communicating with the controller on customer queries/urgent queries/necessary requirements/missing documents/upcoming jobs. Coordinating and communicating with controller and/or driver with regards to clearance and unstuffing status for kd clearance and follow-up for next delivery arrangement. Coordinating and communicating with controller/driver and customer with regards to job completion status/follow-up of pending documents Weekly consolidation and recording of fleet truck inspection checklist and daily follow-up/report asap.
