Invoicing & Sales Coordinator (1-year contract)

Working Days: 5 days, 9am-6pm

Salary: $2500 - $3200

Location: Henderson Road

Job Scope:
  • Create invoices for spare parts orders and service interventions
  • Submit invoices to customers via email or customer portal
  • Reconcile payables and receivables for CSS and CSF during month-end
  • Reconcile purchases such as definitive price reports and sub-contractor cost reports
  • Reconcile turnover, WIP, stock, and perform monthly absorption
  • Generate Cost of Sales reports for spares, service, repairs, revamping, warranty, and vouchers
  • Generate YTD sales, sales cumulative, and monthly management reports
  • Handle GST declaration with IRAS quarterly
  • Assist accountant during annual external audits
  • Follow up on unpaid invoices
Process, Distribution, and Management of Spare Parts:
  • Create quotations for spare part inquiries from customers (Japan)
  • Process customer orders/POs
  • Open Sales Orders/Work Orders for customers
  • Confirm orders with customers within 1 to 3 weeks
  • Coordinate with CS France on delivery schedules, missing parts, or wrong parts delivery
  • Handle customer requirements for Certificate of Origin/Quality
  • Open proforma invoices for advance payments
  • Verify payment transactions with banks and accounting
  • Act with integrity and comply with company procedures and directives
Requirements:
  • Diploma in Administration and Accounting or equivalent; 2 years of relevant experience considered
