Key Responsibilities

Meeting & Engagement Coordination

  • Schedule recurring and ad-hoc meetings with internal and external stakeholders

  • Book venues, send calendar invites, and prepare relevant meeting materials

  • Track participants' availability and follow up on meeting logistics

Site Visit Coordination

  • Coordinate and support scheduled and ad-hoc site visits

  • Arrange access, prepare rooms, and ensure readiness of facilities (e.g., lighting, cleanliness)

  • Liaise with relevant parties to ensure smooth execution on the day

Document & Records Management

  • Coordinate the safe disposal or storage of documents and archived records

  • Work with stakeholders to conduct stocktake and maintain logs

  • Set up off-site storage accounts and manage documentation trails

Data Tracking & Compilation

  • Support data collation activities for reporting and operational purposes

  • Track and consolidate responses from various units for inventory or space-planning exercises

Project Support

  • Assist with space utilisation planning and logistical coordination

  • Provide inputs or support on queries related to operational or infrastructure needs

  • Engage with stakeholders to gather and relay requirements where necessary

Requirements:

Qualifications

  • Diploma or Degree in any discipline from a recognised institution

Experience

  • At least 1 year of relevant experience in administrative, coordination, or project support roles

  • Candidates with more experience may be considered for the Senior Associate level

Skills & Attributes

  • Strong organisational and multitasking abilities

  • Good interpersonal and communication skills

  • Comfortable working with multiple stakeholders and managing sensitive information

  • Detail-oriented and proactive in resolving logistical or scheduling issues

  • Proficient in Microsoft Office tools (Word, Excel, Outlook, PowerPoint)
