Retail Operations Coordinator

Purpose of the Role

The Retail Operations Coordinator will be the first point of contact for all internal Retail enquiries and will play a key role in ensuring effective and regular communication between the Head Office and the Retail teams. The Retail Operations Coordinator is to be a partner to the Retail stores and office in an operational and administrative capacity, and is responsible for planning, coordinating and implementing all Retail Operations practices to all stores in Singapore. This role will take an active role in continually assessing, analyzing and improving all operational aspects, whilst maintaining key internal and commercial relationships and is expected to provide accurate and timely administrative support and training to the retail team. They are required to effectively initiate and complete projects as required and demonstrate a high level of

professionalism in all communication, reflecting company standards and Aesop culture.

Administration & Support

Provide support and answer internal Retail enquires Provide administrative support to the Retail Business Manager & Retail Operations Manager and support office team on all key store issue Maintain effective and regular communication between Retail Stores and Singapore Head Office; Ensure all communications are read, shared and actioned in a timely manner by the relevant retail teams Troubleshoot and support problems with all POS and IT systems and communicate IT issues to relevant people in a timely and effective manner Manage internal documents, guidelines, manuals and calendar events on intranet Resolve and escalate any enquires or problems regarding systems with the relevant parties

Operations

Coach and guide Store Managers on day-to-day operations Onboard and exit relevant employees from appropriate systems (POS system, StoreForce) Continuously assess and support the development of new operational processes, tools, and guides Collaborate with the relevant parties to implement and spearhead any process improvements Liaise with Global Retail to rollout initiatives at a regional level (e.g. Store Force,POS system, Health & Safety etc) Communicate regularly with Global Retail in an effort of continuous improvement Support Retail Business Manager & Retail Operations Manager in rolling out any new technologies, policies, and procedures developed by Global Retail (e.g. POS system) Ensure all administrative and POS system tasks are completed accurately and correctly within the specified/required timeframes Work on relevant projects as and when the need arises Coordinate store maintenance as request

Inventory Management

·Guide and coach Store Managers on Inventory Management guidelines and procedures ·Liaise with supply chain to ensure that the ordering and fulfilment process is running smoothly and seek to resolve any issues that will occasionally arise. (e.g. out of stock, transfers in between stores, reformulation) ·Assess opportunities for stockholding optimisation and support with procedure ·Ensure all ad-hoc order calculators are issued and submitted in a timely manner; Once submitted, review order calculators and approve ·Coordinate and execute half-yearly Stocktakes; coordinate weekly cycle counts and monitor and follow-up on discrepancies ·Monitor, organise and reconcile free products for staff twice a year ·As needed, work with relevant parties on inventory and forecasting around new product releases and seasonal peak orders (e.g. Mother’s Day) ·Reconcile stock delivery upon receipt of orders

Retail Analytics & Reporting

·Issue regular and ad-hoc sales and KPI reports ·Derive insights from analysis and suggest relevant solutions ·Protect data integrity by managing retail processes and systems Control Retail Reports on a daily basis and correct any discrepancy 

Financial Management

·Organize and code the expense invoices for retail team ·Guide and coach store/counter managers to review and analyse monthly expenses to identify and implement strategies to manage controllable expenses and drive profitability

Office Support

·Ensure office opening and closing procedures are undertaken each day and that the general Aesop nature of the offices is maintained ·Coordinate suppliers to the office (cleaner, security, stationary, kitchen and bathroom supplies, couriers, catering, etc.) ·Ensure maintaining of hardcopy and electronic filing of relevant documents ·Assist in the induction and training of new staff in office protocols and ensuring such protocols are maintained in the office


Who We Are Looking For

At least 2-3 years of experience in Retail Industry or relevant field Over intermediate level in English for written and verbal Outstanding communication skills and strong ability to manage Aesop internal and external stakeholders Excellent problem solving with strong organization and administration skills Proven ability to handle multiple tasks and work independently Proficient in MS Word, excel and PowerPoint Good interpersonal, collaborative and communication skills
