Executive Assistant, International Public Policy

This role requires outstanding skills in planning, time-management, and organization, superior attention to detail, an ability to meet tight deadlines and juggle multiple internal and external requests in a calm, friendly and efficient way. The successful candidate will be trusted to handle confidential and sensitive information, and be able to work professionally with senior business executives, government and public policy stakeholders. The ideal candidate will have experience of working well in a fast-paced, multi-stakeholder corporate or public policy environment.
The person will also be responsible for managing both internal and external facing events in countries across the region.
A good sense of humor is critical, as is the ability to continually prioritize and change direction at a moment’s notice. The successful candidate will possess the ability to complete complex tasks and projects quickly with little to no guidance, be very strong in anticipating the needs of the team, and react with appropriate urgency and action to unanticipated developments or situations.
Key job responsibilities
•Providing seamless administrative support to the Australia, New Zealand and Southeast Asia Public Policy team
•Understanding business priorities and identify process improvements to create efficiency and scale for the team
•Managing complex calendaring and scheduling, requiring internal and external coordination
•Tracking and driving to completion of key deliverables and follow-up on outstanding items
•Friendly and diplomatic handling of external partners and stakeholders
•Administrative and events support for external visits to Amazon
•Managing both internal and external events
•Managing expense processing and department budget tracking
•Managing contracts and providing processing support
•Completing other tasks such as updating team organizational charts and completing expense reports
