Trade Operations Specialist

**Purpose of Position**
The main role of a Trade Operations Specialist is to ensure all shipments are executed accordingly to contracts and regulations, ensure timely and accurate inputs into system and spreadsheet, manage internal and external stakeholders’ requirements to ensure seamless operations as well as monitor receivables from customers and follow up in the event of delay payments. The individual will be reporting to the General Manager of TOD, or any team leads or supervisors/managers as designated.
**Responsibilities**
1 Order Fulfillment (70%)
- Understand contractual terms and obligations in order to fulfill shipment requirements
- Ensure shipping documents are prepared as per customers’ requirements
- Verify and process payments to suppliers, freight forwarders and warehouses
- Generate invoices to customers for payments
- Input payment and receivable into cashflow sheet on timely basis
- Prepare LC draft and liaise with banks for LC issuance
- Prepare and ensure shipping documents comply with LC requirements. Liaise with bank directly for LC negotiation
- Perform warehouse management activities such as receipts, release, stock reconciliation and warehouse billings accurately.
- Ensure all month end transactions are complete within stipulated timeline
- Monitor/track shipments and resolve issues when necessary
**2 Coordination and Relationship Building (25%)**
- Liaising with internal and external stakeholders to ensure smooth operations
- Follow up payments from customers promptly
- Coordinate with Japan office and warehouse providers to ensure timely and accurate documentation for custom declaration
- Obtain necessary documents from warehouses on timely basis for month end reconciliation
**3 Others (5%)**
- Any other adhoc tasks, assignments or projects as designated by manager or supervisors.
**Experience**
- 3-5 years of relevant trade operations experience preferred
- Relevant experience in non-ferrous commodity such as Aluminium and Copper cathodes, warehouse warranting operations and container shipments preferred
**KNOWLEDGE, SKILLS AND ABILITIES**
- Ability to handle high volume transactions in fast pace environment
- Knowledge in UCP600 and experience to liaise with banks directly for LC negotiation
- Knowledge in incoterm such as CIF, CFR and Ex Works
- Experience in handling container shipment is preferred
- Proficient in Microsoft Excel such as pivot table/vlookup preferred
- Meticulous and keen eye for details
- Knowledge in LME pricing and warehousing rules preferred.

**ENVIRONMENT / WORK CONDITIONS**
- Working Hours are from 9am - 5:45pm, will require working beyond working hours depending on customer, supplier and time zone requirements.
