**About the Role**
The Executive, HR & Admin will gain invaluable insights in the setting of industry benchmarks and organisational frameworks for non-profit organisations, in particular donor-advised fund sponsoring organizations, in a fast-paced flexible start-up environment. We are seeking a highly capable HR & Admin Executive to join our team and provide comprehensive support as part of the Corporate Services team. In this role, you will be responsible for efficiently processing employee data, keeping company policies up-to-date, and assisting in the hiring process. Your organizational skills and familiarity with HR functions will contribute to the smooth running of all HR operations. You will play a crucial role in maintaining accurate employee records, ensuring compliance with HR policies, and promoting effective communication within the ACF team. Your attention to detail and ability to handle confidential information with discretion will be essential in this role.
**Responsibilities and Requirements**
The Executive will support the teams across various tasks relating to the setting up of the operations and managing the administrative functions in ACF. These include:
Human Resource Duties
- Maintaining physical and digital personnel records like employment contracts and PTO requests
- Update internal databases with new hire information
- Create and distribute guidelines and FAQ documents about company policies
- Gather payroll data like bank accounts and working days
- Publish and remove job ads
- Prepare reports and presentations on HR-related metrics like total number of hires by department
- Develop training and onboarding material
- Respond to employees’ questions about benefits (for example, number of vacation days they’re eligible for)
Office Administration Duties
- Assist with regulatory and compliance-related filings and communications.
- Manage ACF office calendar and related office management duties
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Support budgeting and bookkeeping procedures with the Finance team
- Create and update records and databases with personnel, financial and other data
- Track stocks of office supplies and place orders when necessary
- Submit timely reports and prepare presentations/proposals as assigned
- Assist colleagues whenever necessary
**Requirements and Skills**
- Proven work experience as a HR & Admin Officer, HR Administrative Assistant or similar role
- Good knowledge of Singapore's labor legislation and related HR regulations
- Degree in Human Resources Management or relevant field
- Excellent knowledge of MS Office and office management software (ERP etc.)
- Qualifications in secretarial studies will be an advantage
- Outstanding communication and interpersonal abilities
- Excellent organisational and problem solving skills
- Familiarity with office management procedures and basic accounting principles
- Comfortable working in an evolving and start-up environment.
