Practicum Support Coordinator

**Job Summary**:
**Key Responsibilities**:
- Records Management: Maintain accurate and up-to-date records of students’ practicum progress, including prerequisite results release, eligibility status, placement / internship data, performance evaluations, supervision details, and any reported challenges.
- File Organization: Organize and manage all student documentation within the designated folders on the Psychotherapy Practicum Google Drive, ensuring ease of access and data integrity.
- Operational Support: Periodic administration of practicum operations, including: Managing the centralized practicum portal Coordinating and conducting practicum briefings or Q&A sessions Supporting the marketing team in ensuring that practicum information is up to date in the relevant programme brochures Organizing monthly group supervision sessions
- Communication & Coordination: Disseminate important announcements and practicum-related updates to students and relevant stakeholders. Escalate student concerns or issues to the appropriate personnel in a timely manner.
- Placement / Internship Feedback Collection: Gather feedback from students and placement partners at the conclusion of each practicum attachment.
- Collaboration with Supervisors: Gather insights and feedback from supervisors on student performance, the practicum programme, and industry trends to support ongoing programme improvement.
**Qualifications and Skills Requirement**:
- Educational Background: Bachelor’s degree in Psychology, Social Work, Education, or a related field preferred but not necessary.
- Communication Skills: Strong written and verbal communication skills to respond to student enquiries, draft announcements, and liaise effectively with students, staff, and external partners.
- Attention to Detail: High level of accuracy in organizing and maintaining student files, verifying practicum record sheets, and tracking practicum-related data.
- Organizational Skills: Ability to efficiently manage multiple administrative tasks, maintain structured records, and coordinate practicum-related activities.
- Empathy and Student Support: A student-centered approach with the ability to understand and respond sensitively to student concerns, offering practical guidance and encouragement when appropriate.
- Confidentiality & Professionalism qualities: Demonstrated ability to handle sensitive student information responsibly and maintain professionalism in all communications and administrative duties.
- Adaptability & Initiative: Willingness to learn and adapt to new systems or challenges, with a proactive attitude toward improving practicum processes and contributing to the team.
