Position Overview: _
- Responsibilities: _
1. **Office Management**: Oversee the day-to-day operations of the office, ensuring it runs smoothly and efficiently. This includes maintaining office supplies, managing facility maintenance, and organizing office layout and equipment.
2. **Administrative Support**: Provide comprehensive administrative support to senior management and other departments as needed. Assist with scheduling appointments, managing calendars, and arranging meetings.
4. **Data Management**: Maintain and update various databases, records, and files. Ensure accurate and organized documentation of important information.
5. **Travel and Logistics**: Arrange travel itineraries, accommodation, and transportation for team members and executives. Coordinate travel plans and logistics to ensure smooth travel experiences.
6. **Event Coordination**: Assist in planning and organizing company events, meetings, and conferences. Handle event logistics, such as venue bookings, catering, and equipment setup.
7. **Financial Support**: Assist in tracking and managing office expenses, petty cash, and invoices. Coordinate with the finance department to ensure timely processing of payments.
8. **Human Resources Support**: Support HR activities, including recruitment, onboarding, and employee record management. Maintain confidentiality of sensitive HR information.
9. **Problem Solving**: Identify and resolve administrative issues and challenges promptly. Offer innovative solutions to streamline processes and enhance overall efficiency.
10. **Ad hoc Tasks**: Undertake any other duties or projects assigned by senior management to contribute to the smooth functioning of the organization.
**Requirements**:
- Proven work experience as an Administrative Executive, Administrative Assistant, or similar role.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other office software.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Attention to detail and accuracy in work.
- Ability to multitask and prioritize tasks effectively.
- Professional demeanor and strong interpersonal skills.
- Discretion in handling confidential information.
- Bachelor's degree in Business Administration, Management, or a related field (preferred).
**Working Conditions:
The Administrative Executive will primarily work in an office environment. However, some flexibility may be required for occasional off-site meetings or events. The position may involve occasional extended hours to meet deadlines or handle urgent tasks.
