Administrative Assistant

**Job Summary**
- The Administrative Assistant will coordinate office activities and operations while providing clerical and administrative support to Human Resource and QHSE/ Diving Team.
- Dual reporting to HR and QHSE Executive
**Office Administration**
- As the first point of contact, one will oversee the front office by answering incoming calls, replying to general correspondence, and dealing with enquiries.
- Prepares agendas, makes travel arrangements, and maintains calendars for senior management.
- Liaised with various vendors to handle office stock and maintenance of office facilities, and equipment.
- Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
- Assisting HR Executive and performing other relevant duties when needed.
**QHSE/ Diving & ROV Operations**
- Performing secretarial duties for the creation and drafting of new and revised documents.
- Undertaking various administrative duties in up keeping of departmental filing, certification, and records.
- Updating of the two (K SUBSEA/ SPHI-KSB) Business Management Systems (BMS).
- Updating and dissemination of QHSE forms and manuals as and when they are authorised for uploading to the BMS.
- Assisting QHSE Executive in any ad-hoc activities as and when required
**Required Qualification & Experience**
- ITE / Poly Graduates or related field preferred.
- Preferably with minimum 1-2 years’ experience in a similar capacity or in administrative function.
- Those with no experience are also welcomed to apply.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Savvy in Microsoft Word, Excel, and PowerPoint.
