An Administrative Executive for Business Development is responsible for providing administrative support for commercial leaders to ensure commercial success with focus on maximizing business opportunities and increasing business conversions.
**What will you be doing?**
As an Administrative Executive for Business Development, you will be responsible for performing the following tasks to the highest standards:
- Provide administrative support to commercial leaders so as to ensure commercial success in business acquisitions and conversions.
- Qualify business opportunities and respond to all enquiries in a prompt and professional manner.
- Have knowledge and skills to create and amend room reservations (including group reservations).
- Have knowledge and skills to create and amend accounts and bookings in Delphi fdc.
- Prepare daily/ weekly/ monthly reports and presentation slides.
- Prepare proposals and contracts for groups, meetings and events.
- Prepare corporate rate agreements and follow up on accurate rate loading upon receipt of signed agreements.
- Quality check on accurate rate loading for accepted RFPs.
- Support in coordination of site inspections and have the ability to conduct site inspections independently.
- Follow up on rooming list and groups cut off in the system.
- Follow up on final bill settlement of groups, meetings and events.
- Prepare welcome letters and thank you messages and follow up on post event feedback forms.
- Monitor and maintain stock of stationery and corporate gifts and take initiative to reorder or source for new products when stock runs low.
- Establish good working relationships with internal stakeholders in all departments of the hotel and external stakeholders including guests, event contractors and suppliers.
- Maintain timely and responsive communication with guests and ensure follow ups.
- Participate in hotel organised sales activities including sales blitz and wedding shows or any Hilton organised sales initiatives.
- Knowledgeable with hotel product and work with all stakeholders to deliver the highest guest satisfaction.
- Maintain accurate and updated database of accounts and contacts in Delphi fdc.
- Comply to brand standards and maintain quality assurance with support for internal audits and handling mystery shopping calls.
- Participate in SCOUT, referral business leads program in Hilton Worldwide.
- Support enrolment and revenue contribution from Hilton Honors.
- Provide guidance to sales coordinators in administrative skills and use of systems. Carry out any other reasonable duties and responsibilities as assigned.

- Has sense of urgency and discipline to ensure tasks are completed in a timely manner.
- Good interpersonal, organizational and communication skills.
- Prior knowledge and use of Delphi.Fdc.
