**Purpose of Job**

Assist Assistant Manager, Kitchen Administration to manage daily administrative activities in Kitchen. Ensure the efficient management of the ERP system and support the supervision of inmates engaged in administrative role.

**Major Duties and Responsibilities**
- Responsible for the administration of the ERP system. Roles include accurate data entry and ensuring all orders are received timely in the system.
- Provide guidance to inmates and ensure correct use of ERP.
- Oversee daily procurement processes such as raising purchase orders, conduct good receipts and printing orders for physical receiving. Conduct checks to ensure compliance to procurement specifications and protocols.
- Provide daily support in managing suppliers on all ration related matters. Role includes tracking and submitting non-conformance monthly report to Assistant Manager.
- Responsible for the management of meals and night snack indent. Roles include collation and coordinating of daily meals indent from respective units for Kitchen production.
- Handles and direct daily calls from Institutions relating to meal shortages, feedback and queries.
- Prepare daily documents for invoicing and coordinate weekly submission of documents to Finance. Develop and carry out an efficient documentation and filing system for both paper and electronic records.
- Oversee meal payments at Cafeteria and ensure compliance to payment procedures.
- Perform any other duties assigned or delegated by Asst Manager, Kitchen Admin.

**Requirements**:

- Higher Nitec/Diploma in Business Administration.
- Possess relevant work experience in administration.
- Entry Level are welcomed to apply.
- Proficient in Microsoft Office.
- Proficient in ERP system preferred.
- Meticulous with strong administration and coordination skills.
- Strong communication and interpersonal skills.
- Able to multitask and work independently in a fast-paced environment.
