Facilities Coordinator & Health Safety Executive Officer

**What this job involves**:
Principal Accountabilities
Ensure Workplace Safety & Health Act (“WHS”) is in line and integrated into the business decisions
Establish clear policies
Key monitoring measurements of WSH lapses/near misses
Incorporate the key strategic goals of the organization as part of annual reporting or via organization communication tools
Set a strong tone on WSH culture
Demonstrate visible leadership in embodying and communicating WSH standards effectively
Act as a back-up Receptionist as needed or in the absence of a Receptionist
Work closely too with Receptionist, Security, Tea attendants, vendors overseeing them and ensuring they carry out work with high standard.
Report to Site Lead/FM
Cover FM role in their absence
Duties & Responsibilities
Publish organization WSH commitments
Track WSH targets and performance regularly
Set WSH as a regular agenda item in management/board meetings
Ensure sufficient resource allocation in WSH
Direct reporting of WSH issues to the Company Director
Acquire a sound knowledge of WSH
Regular engagements with workers to understand and address concerns including prioritising WSH matters
Establish a reporting system and encourage proactive reporting with proper follow up to address WSH issues
Establish and require effective WSH standards and performance from vendors and partners
Ensure effective WSH management system
Maintain oversight compliance with work safe procedures
Perform adequate and timely risk assessment
Recognise and reward workers’ efforts towards achieving good WSH performance
Endorse consequence management (remedial/disciplinary actions) to workers with repeated non-compliance of safe work procedures
Conduct an office safety inspection using a checklist to identify workplace hazards and preventive measures to be taken
Identify non-compliant workplace areas and aspects with organizational and regulatory safety standards
Establish clear and easy safety guidelines to follow and publish at strategic areas to keep workers informed
Maintain and perform regular checks on emergency equipment such as fire extinguisher, first-aid kit etc
Schedule a regular review of workplace safety measures, equipment and tools to ensure prompt response to emergency situations when necessary.
Report accidents and near-misses to document occurrences
Utilise the documentation and data of accident and near-misses to propose and execute action plans with preventive measures
Manage office supplies inventory
Handle paperwork on maintenance-related activities
Establish and collaborative relationships with client/ employee
Assist in achieving Key Performance Indicators and Service Level Agreement targets
**Requirements**:
Diploma holder in Building or Facilities Discipline from a recognised tertiary establishment, with a minimum of 3 years relevant working experience in facilities management OR ITE / NTC facility management or technical discipline with minimum 5 years’ experience.
Experiences and technical knowledge in facilities management, project management and tender RFP.
Knowledge in statutory requirements
ERT trained - Certified accredited by SCDF
Occupational First Aide (OFA) Certified - Plus
Knowledge of Energy Reduction and Sustainability Programs - Plus

Will be working closely too with Receptionist, Security, Tea attendants, vendors overseeing them and ensuring they carry out work with high standard.
