The Role Responsibilities

The purpose of this role is to act as the primary PMO for Refinement Forums within the Risk & CFCC QPR Portfolio. This includes day to day operational PMO tasks, supporting the Refinement Forum meeting, educating and further implementing New Ways of Working and Agile delivery. The role holder should be an expert in New Ways of Working and project delivery, proactively identifying opportunities to refine, embed and educate on correct process.

Governance

Help and educate teams on governance processes (OR Policy, NWoW standards), ensure controls are met on an ongoing basis.

Facilitate creation of new initiatives, ensuring all information is complete and business case/outcomes are clear and linked to strategy/business plan

Educates Hive members on NWoW/Agile process and required inputs in JIRA. Implements ongoing data quality controls/reviews with contributors

Facilitates and embeds Agile Maturity Assessment framework within Hives/Squads. Finding resolution or escalation of identified issues

Provides accurate performance information to MPR/QPR as required

Ensures relevant Hive documentation is saved and kept up to date on SharePoint/Confluence

Cost & Resourcing Management

Facilitate creation and ongoing management of initiative cost plans. Maintaining financial forecasts in Clarity. Collaborating with technology teams for inputs

Implement monthly Supply/Demand meetings and relevant controls to ensure squads are maintained in the relevant system.

Maintains Hive hiring plan, ensuring hires are realistic to aid in forecast accuracy

Maintains Hive vendor cost tracker, ensuring accruals and payments are tracked to completion.

Support vendor onboarding process

Educate and facilitate capitalization of project costs

Maintains and communicates time-sheeting information to Hive members

Provides accurate cost and resource information to Hive Lead, central PMO, Refinement Forum and QPR/MPR

Refinement Forum

Collation of monthly Refinement Forum materials and minutes

Help advise Hive Lead and Product Owners on required content/timing for governance purposes

Ensuring content is of high quality, accurately and concisely framing relevant decision points and issues

Provide the required details (I.e. cost, risk and issues, CRA, milestones etc.)

Ensure data sources (JIRA/Clarity) are kept up to date and accurate to enable automated reporting

Risk & Control

Ensure Risks and Issues are updated on a regular basis. Take driving role in implementing robust Risk Management for the Hive

Ensure dependencies are identified, logged in JIRA and tracked to completion in JIRA. Including status updates to Refinement Forums and QPR/MPR as required

Ensure data quality for Risk Management is of a high standard (i.e. accurate impacts/mitigations)

Strategic

Educates and implements standard controls for Hive OKR tracking and reporting

Helps educate and integrate/delegate to GBS PMO team into Hive operational process (Matrix Management responsibilities)

Assist in onboarding and tracking of relevant ERRs and business change activity into the Refinement Forum

Supports central PMO or Hive on ad-hoc process improvements

Communication

Implement standard release communications for the Hive

Provide quarterly updates to QPR/MPR on business outcomes, ensuring language is non-technical and resonates with a broad stakeholder group.

Actively coach Hive members on effective communication within the NWoW construct (i.e. business outcome centric)

Implements and facilitates Hive retrospective sessions on a quarterly basis. Ensure actions are logged and resolved or escalated where necessary.
