The Junior Operations Executive is primarily responsible for the Operational management of key roles in the School’s retail Management, School Facilities Booking Management, as well as the other work assigned by the Operations Manager.

Retail Management (Eagle Stop)

To ensure an efficient backend support for the retail management and customer services in running the school retail through and not limited to the following areas:

- Plans, directs, coordinates and oversees all functions pertaining to the backend operation of Eagle Stop.
- Manages the Logistical management of stock management
- Conduct regular stocktaking and supervisor and refine processes as necessary.
- Ensure that backend support the smooth operations of front end Operations
- Continuous improvement to processes in improving backend Operations
- Assist in the development of merchandises for the School Community
- Work with the finance department to ensure finance and budget planning.
- Ensure compliance with the codes and pertinent policies regarding quality assurance of merchandises
- Develop system and processes with various stakeholders in Retail management matters e.g.:

- Standard Operations Procedures
- Logistic and Procurement process for Eagle Stop
- Management for Customer Feedbacks
- Support Front end retail operations as needed and required
- Assist with tender and Internship programmes

Events Management

Under the supervision of the Operations Manager, this role is responsible for managing the scheduling and coordination of school events and the use of school facilities. This role ensures that both internal and external events are executed smoothly, that all facilities are maintained and available for use, and that the school environment supports the needs of students, staff, and the broader school community. The position requires a blend of event planning, facilities management, and customer service skills.
- Coordinate and support the planning and execution of school events such as graduations, parent-teacher conferences, school plays, sports events, assemblies, fairs, and community outreach programs.
- Venue Setup and Teardown: Coordinate with various stakeholders in the department for the event setups (e.g., seating arrangements, AV equipment, decorations) and ensure stakeholders follow up with the proper tear down and cleanup after events ready for next school day.
- Work closely with school administration, teachers, extracurricular groups, and other stakeholders to ensure that events are aligned with the school’s mission and that all needs for the event are met.
- Serve as the point of contact to check on availability for external groups or organizations renting school facilities, ensuring they are familiar with the school’s policies and requirements.
- Serve as the point of contact for external groups or organizations for coordination of the logistics and set up requirements for the event/activity in the school.
- Collect feedback from event organizers and participants to evaluate the success of the event and identify areas for improvement.
- Provide regular reports to the school administration regarding facility usage, maintenance needs, and upcoming events.
- Maintain Facility Calendar: Update and manage the master calendar for all school events and facility bookings.

Other Operations Duties
- Supports the Operations Manager in areas such as School Administrative, Food Services and School Bus Transportation Services when necessary

- Minimum Diploma or equivalent in any field
- Minimum 2-3 years of relevant work experience preferred
- Strong organizational skills
