**What you will do includes:
Reporting directly to the SVP Medical Affairs for International Markets & Greater China, the Senior Administrative Specialist provides executive administrative support to the SVP Medical Affairs of International Markets & Greater China.
The Senior Administrative Specialist serves as the primary point of contact for internal and external constituencies on all matters pertaining to the SVP Medical Affairs for International Markets & Greater China. The Senior Administrative Specialist will also serve as a liaison to the senior management teams; organizes and coordinates executive outreach and external relations efforts.
Executive Support
- Assists the SVP Medical Affairs for International Markets & Greater China with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; arranging complex and detailed travel plans, itineraries, and agendas.
- Communicates with the general staff on behalf of the SVP Medical Affairs for International Markets & Greater China and coordinates logistics with high-level meetings both internally and externally.
- Consolidate reports and proposals from internal functions; prepares and coordinates oral and written communication.
- Arranges (materials, presentations, coordination of schedules, meeting logistics, Microsoft Teams/WebCast, etc.) executive meetings including senior management and corporate-wide meetings, and meeting with external parties. Provides on-site administrative support, as needed.
- Collects supporting documents and processes expense reports on a timely basis to prevent corporate credit card limits from impacting the executive’s ability to conduct company-related business.
- Responsible for maintaining highly confidential and sensitive materials.
- Maintain an organized filing system of paper and electronic documents.
Health, Safety and Environment
- Take reasonable care of the health and safety of yourself and others, including team members.
- Identify and correct unsafe conditions or behaviours and immediately notify the Manager of any serious incidents; complete an Incident / Injury Report and forward to Human Resources within 48 hours where necessary.
- Undertake duties in accordance with the current Astellas safety policies and procedures.
- Report non-conformance in accordance with the requirements of the Astellas quality.
Mandatory Compliance requirements
- To be aware of Astellas' Group Code of Conduct and associated policies and procedures and other applicable laws, codes, and regulations.
- Clarify and seek guidance as required, and raise any concerns, in a timely manner, with relevant manager, which may include reference to the Ethics and Compliance Team and/or Ethics and Compliance Helpdesk.
- Undertake and comply with relevant mandatory Ethics and Compliance training and updates to maintain personal awareness; all training to be undertaken in a timely manner.
- Be aware of and comply with, the Astellas Way and Astellas Competences, in terms of expected values and behaviours, in addition to Astellas’ HR policies, procedures and guidelines.
**What you will need**:
- 6-8 years of relevant experiences.
- Bachelor’ Degree in any discipline.
- Experience in providing secretarial and administrative support to Senior Management Team.
- Strong proficiency in MS Office.
- Excellent organizational, analytical, and interpersonal skills.
- Quick, sharp, and detailed oriented.
- Excellent multitasking skills.
- Strong communication skills with experience in communicating across several region.
- Able to work in cross cultural environment.
