**Position Description**

The Receptionist is responsible for helping with the day to day administrative and clerical duties to ensure smooth running of the office. The function will provide service to all the product lines in the office. The incumbent will assist in multiple areas, as and when required, and will work closely with the Office Manager and the Administration team. The primary responsibilities are to provide receptionist cover, assist with travel bookings and provide administrative cover where required.

**Key Responsibility Areas (KRA’s)**
- Manage reception, answer calls, check in visitors, book VO /meeting rooms.
- Manage access cards, ensure staff given to correct access, the cards are properly locked up and inventory are in order.
- Travel arrangement and booking of local hotels for Clients / Regional / Sales & Research Staff roadshow.
- Ensure All Staff Travel & Expenses comply with the Travel & Entertainment Policy - accurately reviewing all Travel approval.
- Organize, manage and coordinate courier service (both local and overseas).
- Monitor office/ pantry supplies and order accordingly.
- Track vendor costs to identify sudden variances and overall trends and update to Office

Manager.
- Assist with corporate events / internal meetings /group sessions.
- Organize presentation equipment and refreshments in meeting rooms when require.
- Photocopy, fax, bind and file company documents as required.
- Ensure and provide support/assistance towards workplace safety and well being.
- Ensure and provide support/assistance towards Support in ISO 14001:2015 (Clean and

Green) initiatives.
- Provide BAU coverage for Tea Lady, Facilitator & Office Administrator during leave.
- Perform ad hoc duties as assigned by Office Manager.

**Requirements**:

- Minimum of two to three years’ of working experience in a similar role.
- Excellent Microsoft Office skills (PowerPoint, Excel, Word).
- Strong English communication skills (both written and verbal).
- Excellent organizational skills.
- Professional mannerism.
- Team player.
