The Senior Customer Service Specialist is an integral part of the Supply Chain team. Working with internal supply chain teams across the region, as well as external stakeholders comprising 3PLs, customers and suppliers, you will be responsible for

**Ordering Process, Inventory Management and Reports**
- Create PO and SO (monthly/weekly) in SAP, place orders with factories and send Sales Order confirmation to Distributors in a timely manner.
- Check monthly backorders and follow SOP to chase supplier for back-order items.
- Ensure all sales documents are saved in Shared Drive for audit purposes.
- Place safety stock as requested by Sales Team and monitor stock turnover.
- Prepare thrice a month Order fulfilment Report as requested by Management.
- Ensure goods follow FIFO process.
- Transfer stock to QI if stocks are damaged.
- Tallies SAP inventory report with warehouse report.
- Monitor stock turnover and inform sales team of safety stock every month.
- Conduct re-ordering meetings with BU Sales Lead.
- Ad-hoc reports as requested by Manager.

**Import shipments**
- Ensure import documents are compliant with local regulatory.
- Handle incoming shipment via sea and air from suppliers.
- Prepare claims on defect/faulty goods for marine and air shipment.
- Check Goods Receipt Notification from warehouse and perform good receipt in SAP.
- Ensure all import documents are saved in Shared Drive for audit purposes.
- Ensure forwarders submit import freight charges report.
- Ensure suppliers uses 3PL awarded in Global Bid.
- Keep record of all freight charges and feedback on 3PL services.

**Export shipments**
- Prepare PFI to request Letter of Credit (L/C) & telegraphic transfer (TT) payment from customer.
- Inform customers of planned monthly shipping schedule.
- Handle Letter of Credit Export Shipments
- Prepare invoice, packing list, pick slip, bill of lading, bill of exchange, certificate of origin, insurance certificate and other related documents for export shipments.
- Liaise with local forwarder for freight quotation and communicate with outsource warehouse for delivery schedule. Keep record of all freight charges.
- Keep record of product performance report (PPR) and sending defect/faulty goods back to manufacturer for investigation and claim
- Ensure goods that are shipped to distributors follow FIFO rule.
- Ensure freight invoices are checked and given to Finance team.
- Prepare and send samples to distributors for RA registration/training or demo purposes.
- Ensure all export documents are saved in Shared Drive for audit purposes.

**Others**
- Ad hoc duties assigned by management, which may include process improvement, automation initiatives, CSR events and team bonding activities.
