**Key Responsibilities**
- Assist in managing and maintaining the buildings and related facilities
- Assist in conducting daily on-site physical inspection and monitor the work progress of all defect’s rectification; identify any equipment defect, and report for corrective actions immediately.
- Assist in the design and implementation of new procedures to create and file records efficiently
- Develop and carry out an efficient documentation and filing system for both paper and electronic records
- Provide administrative service such as:

- Process utilities’ invoices
- Data entry of utilities record into master file
- Handling of correspondence and answering and screening of phone calls
- Sorting and distributing incoming and outgoing mail
- Coordinate and supervise external contract work as assigned by immediate supervisor to ensure their works are compliant with the required specifications and standards so as to meet objectives.
- Act as independent party for quotation tabulation to be handed over to Building Custodian for their recommendation
- Provide secretariat and administrative support to Building Services Department requiring initiative and independent judgement
- Perform all duties in accordance with company policies and within the realm of the company vision, mission and values.
- 24/7 stand-by for emergency call out, such as (building services’ failure).

**Key Requirements**
- Diploma in relevant discipline is preferred
- Familiar with relevant contract administration and procurement procedures.
- Possess basic computer skills and knowledge in Microsoft Office
- Good organizational skills and ability to multi-task
- Able to work under challenging environment with tight timeline
