Description
The role and responsibilities include:
- Manage and organise internal regional conferences as required (marketing event administration)
- Co-ordinate time sheets, create clients’ invoices and manage out-of-pocket expenses are duly invoiced
- Coordinate monthly billing runs
- Assist OM on monthly unbilled/uncollected reports to ensure due actions are taken appropriately
- Liaise with regional IT-support to ensure IT needs for the practice are adequately provided
- Support with induction of new hires (workstations, office equipment etc)
- Maintenance of practice annual leave, study time schedule, exam passes etc
- Assist foreign and international employees working/visiting Singapore and of office-moves (when required)
- Assist senior consultants, ad-hoc basis, in the preparation of proposals, presentations and project engagement letters and liaise any legal issues (if any) with Corporate legal counsel as required
- Periodic update of lead consultants’ bios and work experience of clients’ projects
- Coordinate and manage the client database
- Execute/activate conflict check to ensure adoption and compliance, as required
- Ensure adoption of house-style and standard templates
- Co-ordinate air travel, visas and hotel arrangements for the team
- Co-ordinate contents for in-house quarter newsletter, “Newsbreak” with Corp Marketing
- Plan, arrange and organise seminars & cocktails for local and overseas events
- Process expense claims
- Assist in lining up marketing meetings for regional/global visitors with key clients
- Support the practice heads in travel, personal administration and presentations, including calendar/appointment management
