The Office manager will report to the Site Leader and have dotted line responsibilities to the Senior Manager of Global Real Estate.
In your role as Office Manager, you will:
- Provide all administrative services for the office, including mailroom, printing / copying, filing, and maintenance of the facilities and office supplies
- Purchase, lease, inventory control, and maintenance of all contracts on various office equipment, services, and technologies.
- Maintain health & safety standards in the office and promote the APAC Health & Wellbeing program
- Work with the Site Leader to arrange all Office Meetings and other site-related activities e.g., BCP Site Plans
- Conduct new employee orientation into the office and provide onboarding support, e.g., issuance of badges and standard equipment
- Assist with and/or carry out ad-hoc projects, e.g., renovation, office relocation and fitting out of premises.
- Ensure continuous repair and maintenance programs exist in the areas of office infrastructure, and fire safety.
- Coordinate all maintenance issues and schedules.
- Prepare annual regulatory submissions, e.g., annual electrical license renewal, audit of the fire extinguishers.
- Maintain a safe work environment for all employees.
You will ideally have:
- At least 2 years’ Office Manager experience
- Further qualifications desirable but not essential, for example a ‘Real Estate’ degree, or Certificate in Strata Property Management.
- Familiar with usual office technology requirements - word, excel, outlook, etc
- English language skills (reading and writing) is essential
- Chinese and other local languages is a bonus but not essential
