**Job Purpose**

HUONE Singapore is an extremely cool meeting space located centrally at Clarke Quay, occupying 22,500 sqft, with an adjoining restaurant and bar. The role of Event Services serves as the bridge between sales and the other internal teams.

Role is also known as Catering Sales Coordinator

**Detailed Job Description**
- Upon confirmation of an event from the sales team, Event Services (ES) will work with the end client to populate all event details, using approved communication channels, while keeping the sales team in copy.
- Prior to reaching out to the client, ES will review past events with us via the CRM system to identify previous visits, trainer for the event, client preferences, and discount levels for any add on purchases.
- The event details will be compiled in a timely manner into the weekly event orders, as well as kitchen lists for the operations and kitchen teams. At this stage ES will ensure that meal timings are staggered such that overloading at the restaurant area is avoided.
- ES will call for the weekly operations meeting to which attendance is compulsory, at the meeting the ES with the Sales team will brief the team on the event orders for the next week, along with identifying any gaps for events from the following 2 weeks.
- On a daily basis the ES team will be required to prepare for the following day, the room logos, table tags, entrance signage, carparking coupons, billing details and opening of the POS system.
- To close off each day, the ES will be required to close off the event POS by verifying the orders vs the invoice details.
- On a monthly basis, ES will be involved in the month end reconciliation with the Finance team, along with the confirmation of carparking coupon orders with landlord.
- On an ad hoc basis the conduct of site tours with the sales team, and potential customers of HUONE Singapore. This includes the generation of estimates and invoices using the assigned invoicing system
- On a daily basis to handle the morning HUONE walk with the sales team at the reception.

**Job Details**
- Sec / Diploma would be great but not a requirement, experience is the most important
- Some customer service / client servicing / hospitality experience would be beneficial
- Excellent communication and organisational skills, be prepared to answer to clients after hours.
- Being detail-oriented is critical
- Ability to work with other team mates
- Fluent in English would be beneficial
- 5 day work week, primarily Monday to Friday, on occasion weekend assignments will be given.
- Working hours 9 hours a day, starting time may vary depending on the operational load.
