Care Corner Singapore Ltd was founded in 1981, in a climate of changes in the early 1980s, as economic competition in the region intensified and the rift between the wealthy and the lower-income in particular the Chinese blue-collar workers, widened. Rev Tan Tien Ser and a group of passionate individuals believed that these marginalised people with lower income and little opportunities for a formal education could be helped to realise their potential and become more competent and fulfilled persons. Through a series of early outreach initiatives, Care Corner has evolved into an organisation offering a wide range of programmes and services delivered through various social service centres located island-wide.In a bid to stay relevant to the needs of the community, Care Corner has continuously strived to offer new and innovative programmes to support those in need and the less privileged.

DESIGNATION : Admin Executive

RESPONSIBILITIES

**Facility and Operations Administration**
- Support the Centre Supervisor and Admin Manager in related administration so as to achieve and maintain efficient and smooth running of the centres. This includes:

- Upkeep cleanliness and maintenance of facilities including liaising with vendors, upkeep of first aid supplies and fire-fighting equipment, ensuring reception and meeting rooms readiness at start and end of day.
- Assist in workplace safety exercises e.g. conducting of fire drills in accordance with safety guidelines and regulations.
- Assist in ad-hoc projects e.g. office/centre renovation.

**Programme & Data Administration**
- Work with relevant Programme Supervisors for back-end programme administration and implementation, coordination and support. Assist in outreach and publicity events when needed.
- Perform and assist in data entry, ensuring that all clients’ records updated.
- Upkeep of relevant databases within the Service Point, including use of shared IT platforms for centralised depository of docs.
- Support in collation of data and statistics for programmes and services reporting to government authorities and publication content generation.
- Assist in implementation of personal data protection policies (PDPA) and measures in daily operations.
- Assist in Customer Satisfaction Survey report for all clients upon discharge.
- Assist in Volunteer Management matters to ensure timely execution.

**Procurement & Financial Administration**
- Manage payment including cash collection and issue receipts, coordinating with clients or family members on prompt payment of services.
- Manage procurement and replenishment of office, centres' required consumables, stationery and supplies.
- Administer accounts payable and receivables, month-end reconciliation on programme expenses, checking and submission of monthly Income Summary Report.
- Support in administering sponsorships and donation, including liaising with external partners where needed and proper record-keeping for audit. Assist in matters relating to donation-in-kind collection and distribution, working closely with Head Office and Admin Manager to ensure smooth execution.
- Ensure that physical fixed assets tally with the fixed asset records maintained in finance system and assist in asset counting when required.

**Front Desk Administration & Secretariat Support**
- Manage front desk duties and attend to calls and walk-in enquiries.
- Provide logistics support such as room booking, prepare beverages, setup of laptop, projector etc.
- Responsible for word processing, and updating of all materials regarding schedule reports, filing, photocopy, letters, writing minutes of meetings, forms, brochures, proposals, statement of accounts, clients’ records etc.

**HR & IT Administration**
- Involvement in Internship recruitment activities, liaising with ITEs and Polytechnics lecturers and provide support to Centres' Supervisors on internship matters.
- Provide support in on-boarding and off-boarding of staff, interns, where needed.
- Coordinate Service Point/Group/Organisational events, meetings, staff welfare etc.

**Job Requirements**
- At least 1 to 2 years of related administrative experience;
- Proficient in MS office (Word, Excel, PowerPoint);
- Good team player and able to work independently;
- Good communication and interpersonal skills;
- Able to multi-task and work efficiently;
- Self-motivated and organised;
- Feasible and efficient solutions to problem solving.

QUALIFICATIONS

Minimum ‘A’ Levels or Diploma holder
