Singapore Boys’ Town Full time

**Job Purpose**

The incumbent is responsible for maintaining the safety and security of the residents and the building and grounds, managing stores and inventory for donation-in-kind items, vehicle management and logistics management of the facilities in Boys’ Town.

**Responsibilities**:
Security
- Managing the security agency to ensure the smooth running of the day-to-day operations. - Assess & manage security risk control measures.
- Manage & resolve conflict in the security environment.
- Lead and assist all staff with maintaining security of the building and ensure safety and security of the residents and the building and grounds of Boys’ Town.
- Write and recommend policies and protocols related to security issues in Boys’ Town building and on grounds.
- Review situations, issues, and concerns that occur related to residential client and staff safety and security and write/recommend policies that address/correct concerns.
- Ensure site emergency response protocols are accurate and up to date. - Manage site security issues as they arise.
- Assist and work with IT and Estate to review security camera data for security needs and concerns; audit camera footage.
- Inspect building for condition of locks, exit signs, windows, interior and exterior lighting.
- Participate in investigations of incidents as needed.
- Conduct/support fire and other safety drills.
- Participate as a member of the fire safety committee.
- Crowd & Traffic controls as needed.
- Manage and keep proper records of the access card of staff.

Store & Inventory
- Source, contact and arrange collection of donation-in-kind items from donors and establish a friendly and healthy rapport with them (which includes issuing of thank you letters)
- Ensure and keep proper record and inventory in the inventory system of all donation-in-kind items to maximise usage and ensure no wastage and spoilage.
- Organise inventory controls and reporting in accordance to regulations.
- Ensure the cleanliness, optimum usage of space, labour, loading and equipment requirements in the store. Vehicles Management
- Keep proper record of the usage and maintenance of the fleet of Boys’ Town vehicles.
- Keeping track and manage all documentation relating to the vehicles, e.g. Fines, renewals of insurance, COEs.
- Responsible for ensuring proper scheduling of drivers.

Logistics
- Ensuring all meeting rooms, training halls, furniture and equipment (i.e. projector, sound system) are properly maintained
- Managing relevant vendors’ contracts and vendors for equipment
- Managing all bookings of meeting rooms, training halls and other facilities in Boys’ Town for both internal staff and external clients and ensuring the smooth running of all the events and activities.
- Support other departments in collecting donated items, going to the banks, post office etc.
- Maintain and keep proper records of all utilities bills

Equipment and Facilities
- Work together with the Estate and IT Manager to ensure the smooth running of all equipment and facilities in Boys’ Town.
- To work and coordinate with AES, APS, Montfort Center on the common facilities.

Managerial
- Supervise a team of Inventory & Transport Officers.
- To cover and support the team of Inventory & Transport Officers if they are not available.
- Assist in hiring, coaching, mentoring, and evaluating employees, taking corrective action when necessary.
- Working with reporting officer, finance and management team to set budgets, monitor spending and other expenses.
- Participate in projects assigned by the Assistant Director, Corporate Services.
- Participate in internal/ external audits when necessary.
- Lead/ participate in various committees in Boys’ Town where necessary.
- Assist the Assistant Director, Corporate Services, where necessary.

**Requirements**:

- Tertiary qualification in Business/Management or related field or equivalent
- Minimum 5 years of relevant working experience, preferably in the social service sector and with stakeholder managements (i.e. donors, external vendors)
- Have a valid driving license (i.e. Class 3) with minimum 1 year of driving experience
- Have good knowledge of security environments and hazards
- Knowledge of Workplace Safety and Health Management System
- Knowledge of warehouse management
- Possess leadership and time, task, and resource management skills
- Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills
- Resourceful and systematic
- Being Proactive
- Familiarity with budget planning and enforcement, human resources, and customer service procedures

**Job Types**: Full-time, Permanent, Contract

**Salary**: $2,800.00 - $4,000.00 per month
