**urpose**:
To provide secretarial and administrative support to the project manager and his team so as to facilitate the project’s smooth execution throughout its lifecycle.
**Responsibilities**:
- Provides daily secretarial and administrative support to project manager.
- Coordinates and provides logistic support for project meetings, record minutes of meeting and follow-up outstanding items with relevant parties.
- Coordinates mobilization/demobilization of project personnel with HR Department and their visa/ticketing/accommodation arrangement with travel admin team.
- Compiles and provides updated key project information (e.g. project org chart, personnel movement, etc.) to relevant stakeholders for reporting/processing purposes.
- Maintains files and documentation thoroughly and accurately, in accordance with company policy and procedures.
- Recommends improvement to related policy & procedure and supports its implementation to enhance company’s operational efficiency.
- Other duties which may be assigned from time to time
- Functionally reports to the Administrative Manager on matters relating to admin’s procedures & policies but seldom takes instructions from this person.
- Operationally and substantively reports to Project Manager for daily work.
- Has no supervisory responsibility but may be required to guide junior staff
**Requirements**:
- Good use of Word and Excel.
- Min 3 years of relevant experience preferable in the maritime sector.
- Able to write and prepare Progress Reports, Project Status Dashboards, Schedule, Budget.
**Job Type**: Contract
Contract length: 36 months
Work Location: In person
