**Operations & Coordination**:
- Oversee and delegate tasks to receptionists, dispatch riders, and outsourced contractors to ensure efficient workflow.
- Train and mentor administrative and support staff to maintain high service standards and adherence to company procedures.
- Coordinate office renovations and fit-out projects as required.
**Procurement & Vendor Management**:
- Source, liaise, and negotiate with vendors for enquiries and quotations.
- Identify and resolve contractual issues and disputes to ensure smooth vendor operations.
- Maintain and monitor inventory levels for office and pantry supplies, ensuring timely replenishment.
- Prepare purchase orders and goods receipts in SAP, ensuring accurate financial tracking.
- Verify and approve invoices to maintain correct billing details.
**Administrative & Compliance Support**:
- Develop and implement office policies and procedures to enhance operational efficiency.
- Maintain organized paper and electronic filing systems for quick document retrieval.
- Support staff onboarding and offboarding processes.
- Manage corporate memberships and newspaper subscriptions.
- Assist in the acquisition and disposal of fixed assets.
**Reporting & Safety Compliance**:
- Provide regular budget analysis and data reporting for departmental decision-making.
- Administer workplace safety initiatives, including fire warden responsibilities and first-aid box management.
- Ensure firefighting equipment is available and in good working condition.
**General Support**:
- Provide backup reception coverage as needed.
- Perform ad-hoc duties and tasks assigned by the Manager.
**Job Requirement**
- GCE ‘O’ Level with at least 5 years’ relevant experience; or Diploma in Business Administration with 3 years’ relevant experience.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Ability to work independently and proactively suggest improvements.
- Knowledge of SAP will be an added advantage.
- Proficient in Microsoft Office.
- Excellent command of English language (both verbal and written).
- Excellent team player with ability to meet tight deadlines.
- Resourceful, well-organised, problem solver, decisive and meticulous with strong analytical skills.
- Ability to work independently with very mínimal supervision.
- Able to start immediately or within short notice will be an added advantage.
