**About the role**

Woods Bagot Singapore studio is looking for an enthusiastic individual as our Finance Administrator. The role is to manage activities relating to the Singapore studio’s financial and management including project management, studio administration and People & Culture activities. The role will involve providing business and administration support to the studio and project teams for the Singapore studio.

Previous insight and knowledge of the interior design/architecture industry in Singapore and Southeast Asia is an advantage but not as desirable as a motivated individual who is looking to learn and grow

You will report to the Studio Leader & mainly assist the studio in the following:
**A. **Finance & Accounting**
- Supporting the Studio Leadership and staff on all finance matters and ensuring all financial requests for information are delivered.
- Ensure project management protocols are adhered to across the studio, lead the studio and train employees where required.
- Manage the studio month end process including project management administration, timesheet completion,
- Support in issuing invoices and coordinating between clients and suppliers on payment matters.
- Review Pre-WIP / WIP (work-in progress) updates with project leaders.
- Update future revenue, sales pipeline changes and forecast changes in BST.

**B. **Office Administration**
- Support the effective and efficient day-to-day operation of the Studio and maintain a safe and secure work environment.
- Monitor ordering of supplies, assist with general administrative duties as needed across the Studio, including reception, mail, and ensuring the cleanliness of the Studio, hospitality and client service of the Studio, etc.
- Manage the studio’s calendar and liaise with relevant parties on scheduling studio appointments.
- Support Studio Practice Management by way of conducting internal project audits and setting up client reviews in line with WB procedures and policy.
- Oversee and coordinate travel and accommodation bookings for the Studio.

**C. **Human Resources**
- Conduct orientation induction for new hires in the Studio, including allocation of seats, login details, IT equipment, contract information, etc.
- Track staff’s timesheets and forecast monthly on internal manpower resources to ensure sufficiency and functionality within studio
- Coordinate staff welfare matters such as celebrations, insurance, and any other staff-related benefits
- Plan monthly team bonding activities.

**Personal Competencies**
- Minimum 2-3 years of experience in HR/Admin/Finance/Project Accounting, desirable if in a design or construction-related industry
- Degree holder in Accounting, Finance or related disciplines is an advantage but not essential
- Enthusiastic and energetic individual who is able to work in an agile and responsive setting, adapting to a dynamic and growing team requirements.
- Excellent interpersonal skills with communication in spoken & written English, desirable if a Mandarin speaker
- Bonus experience: Regional market and business insight.
- A high level of skill using Microsoft packages and Microsoft Outlook is essential.
- Must be based in Singapore and have the right to live and work in Singapore.
