Presentations Associate

Purpose of Job:
The Presentations Associate role requires both design and word processing ability to efficiently schedule and process new and existing documents to the clients’ specifications.
Job Responsibilities:
- This position requires prior word processing/graphic design experience and the ability to work independently or with little supervision
- This position requires working shift between 9am to 3am, including weekend coverage
- Follow clients’ instructions to accurately process clients’ projects, working within strict time constraints and deadlines
- Process Word/PowerPoint presentations, basic web and graphic design knowledge, financial statements, legal documents, proposals, questionnaires, letters, schedules, labels, and tab masters. May also process spreadsheets
- Effectively use the software outlined to create and produce document templates, mail merges, charts, graphs, tables, and client documents
- Use of job tracking software to log in and out of all tasks assigned for internal tracking purposes
- Responsible for the quality of execution with strong attention to details and minimum errors
- Act as project coordinator to prioritize and schedule documents according to procedure
- Understand and accurately utilize data collection process
- Work according to agreed Key Performance Indicators to minimise penalty from client and escalate any issues to the client and Client Service Manager as soon as possible
- Maintain client confidentiality at all times
- Comply with OH&S procedures
- Develop and maintain strong client relationships, including regular client meetings with the Account Manager to discuss ongoing operational matters.
- Escalate issues in a timely manner to the client and Presentations Supervisor / Account Manager
- Develop and maintain an exceptional client service culture
- Ensure best practices are followed and quality standards are maintained
- Identify opportunities for improved efficiencies or additional services for the client
- Participate in and complete staff review/feedback process twice per year. Manage the development of staff, including identifying and encouraging future leaders
- Manage ad hoc projects as required
Job Requirements:
- Type a minimum of 75 wpm English (with a high level of accuracy)
- Extensive knowledge of Microsoft Office suite
- Basic knowledge of the PC platform
- Knowledge of Adobe Creative Suite, particularly InDesign, Photoshop and Illustrator
- Effective verbal and written communication skills
- Capable of adapting to a rapidly evolving environment
- Knowledge of investment banking compliance and Chinese Walls policies would be an advantage
- Ability to work effectively under pressure and to tight deadlines
- Excellent problem solving skills
- Excellent customer service ethic
- Flexible, “can-do” attitude
- Excellent time management and prioritisation skills
- Ability to work effectively independently as well as part of a team
