Receptionist & Facilities Coordinator
Work Dynamics - Integrated Facilities Management

**Overview**:
To achieve the timely and efficient delivery of Facility Management services related to Employee Experience
Services to Client staff in support of their business needs in accordance with the Service Levels, and Key
Performance Indicator requirements.

Job Duties/Schedule
Core Service is reception
Answer main incoming phone line
Visitor Management-assist in organizing passes and desks as required.
Coordinate meeting room reservation system and set them up as required
Connecting Webex and videoconferences as and when required
Organize coffee/beverages for meetings
Ensure reception/meeting rooms and café/panty are dean and tidy
Order consumables (Stationary / Kitchen items)
Ensure common areas are well maintained and stocked (i.e. stationery cupboard, print copy area)
Order catering for events as required
Set up for catered meetings and assist with clearing away
Manage Mail /couriers
Helpdesk/Organize contractors for reactive type jobs
Waste Management. - Recycling, Confidential & Secure.
Records Management/Archiving
Purchase order/ Invoice processing/ coding
Assist in providing administrative tasks as requested
Coordinate and control Security access requirement
Coordinate visitor pass management and audit requirements
Enter Tenant Service Requests when required
Assist FM with rollout of planned maintenance (liaising with vendors when required)
Health and safety walk rounds/audits, updating BO list
Overtime will be very unlikely but include a rate should be needed
Backup is needed
Safety walk through of the site ( Compliance)
Arrange planned maintenance activities
Organize quotes for work to be performed, review and present recommendation
Vendor management/compliance
Verification of contractor services
