**Key Responsibilities**

**Student Admissions and Operations**
- Manage the end-to-end coordination of AIC-funded training courses, including registration, scheduling, logístical arrangements and certification.
- Manage the schedule of AIC courses by coordinating course calendars with internal teams and trainers to ensure smooth trainer deployments and venue readiness.
- Open new course runs on AIC CCLMS and TPGateway as required.

**Billing and Financial Coordination**
- Ensure timely submission of billing documents and supporting records for each completed course.
- Prepare invoices, monitor payments, and work closely with the finance team for timely reporting.

**Compliance and Audit**
- Uphold regulatory standards with integrity and precision, keeping processes transparent and audit ready.
- Maintain accurate records of learner registrations, course attendance, and evaluation results.
- Access and update TPGateway to mark attendance and assessment outcomes for each course run, ensuring compliance with funding and audit requirements.
- Consolidate and organise learner evaluation data for internal analysis and reporting.

**Customer Support & Enquiries**
- Deliver empathetic, professional support to students and stakeholders, building trust and confidence through clear and effective information.
- Be the primary point of contact for learners, and trainers regarding AIC courses.

**Job Specification**
- A recognised Polytechnic Diploma in any discipline
- 2 to 3 years of work experience in administrative roles and customer service in the training and education sector. Fresh graduates with a passion for education are welcome to apply
- Strong proficiency in Microsoft Office is required
- Experience with Training Management System (TMS), automation tools would be an advantage
- Adaptable, meticulous and resourceful. A strong team-player who thrives in a fast-paced environment.
