Position Description

**Responsibilities**:
**Reception Management**: greet incoming guests, manage, maintain, and coordinate the reception area, conference rooms, and corresponding calendars.

**Mail Management**: pick up, sort & distribute incoming mail timely and prepare and ship outgoing mail (UPS, USPS, Royal Mail and FedEx).

**Space Management**: complete daily checks of office space and meeting rooms to ensure they are tidy and presentable for our employees and visitors; oversee repairs, improvements, appliances, machines and space organisation.

**Food & Beverage Coordination**: handle and pre-order a selection of lunch vendors for the office and any onsite food arrangements; complete morning set up - clean coffee machine, restock the pantry and maintain the appearance of the kitchen area.

**Vendor Management**: manage all vendor relationships, contracts, and requests while keeping in line with budget.

**APAC Office Management & Support**: reoccurring check-ins with APAC offices for contract renewals, snack orders and general support as and when needed.

**Health and Safety Management**: keep up to date with all H&S laws and ensure we are compliant; ensure adherence to office office-based policies and procedures.

**General Administration Duties**: manage, track and maintain office inventory; maintain all receipts and invoices for monthly expense reporting for corporate credit cards; address employees' queries regarding office management suggestions and issues; employee

**Onboarding & Events**: work closely with Global HR for events and IT for ordering new hire IT Equipment, coordinating IT Office visits and all tech support requests from the APAC team;
Assist in onboarding and off-boarding of employee s - making sure employee equipment is allocated, desk is cleaned out, and prepared.

**Accommodation & Travel**: book accommodation for visiting colleagues using our preferred partners and establish corporate rates with hotels in the area.

Executive Assistant Responsibilities

**Task Management**: Deliver, prioritize and deal effectively with several tasks simultaneously to make informed decisions in a fast-paced and dynamic environment.

**Travel Coordination**: Arrange complex and detailed travel arrangements across international time zones. Process travel expenses and reimbursements.

**Diary & Meeting Management**: Coordinate and oversee CRO’s diary; ensure all meeting logistics are taken care of. This includes organizing internal and external meetings with clients, conference calls and other events, and preparing itineraries and agendas.

**Requirements**:
Previous relevant Office Manager experience in a fast-paced and dynamic environment

Creative thinker who is always looking for ways to improve processes with the ability to make things happen

A high degree of maturity, honesty, trust, sophistication, and integrity. Ability to cultivate these qualities in others

Excellent analytical thinking abilities and strong attention to detail

Ability to deal with highly confidential internal and external information discreetly

Outstanding organisational, problem solving and time management skills

Strong oral and written communication skills; experience supporting C-Level Executives and ability to liaise with different teams

Must be a strong team player, skilled in collaboration, as they will work intimately across various departments and regions.

Proficiency in the Microsoft Office Suite

Ability to embrace change and absorb new information with ease

Willing to be on-site 5 days a week at our Singapore office
