**Job Summary**
The receptionist is the first point of contact between the guests and the company. Receptionist’s duties include offering administrative support across the organization. He/She welcomes guests and greet guests who visit the company. He also coordinates front-desk activities, including distributing correspondence and redirecting phone calls.
**Key Responsibilities**
- Ensure all guests of CIC are well attended to and served in a professional manner
- Maintain a neat reception and clear all documents by the end of each day
- Ensure maintenance of reception area and meeting rooms
- Ensure tailored service for all of bank’s guests
- Verify and issue visitors’ passes
- Record visitors’ temperature and ensure safe distancing in the reception area
- Screen and forward phone calls to respective individuals and departments
- Arrange and clear all local and international consignments assigned within time frames
- Reconcile billings for Courier. Conference Call Facilities and Pantry invoices
- Consolidate postage costs and ensure that the franking machine has sufficient funds
- Handle calls, couriers, postages and all duties assigned without delay
- Allocate meeting rooms when requested
- Check and order pantry groceries
- Stock-take of annual report from Head Office
- Maintain contact with local and foreign newspaper vendors for annual renewal
- Execute all other ad hoc duties as assigned
**Requirements**:
- Minimum GCE 'O' Levels
- Minimum 3 years of relevant experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office (Excel and Words)
- Professional customer service attitude
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
