You are part of the Guest Service Department and provides support to team as and when needed. Your main role is to ensure that all Unilever staff and visitors arriving at the site receive a professional and warm welcome. You will report directly to the supervisor.

You will:

- Meet and greet all visitors and attend to all enquiries.
- Induct all visitors as they enter the building with basic information on the building and emergency procedures including, guest passes, hand-outs, LMS (Learning Management Suite) induction, safety, security and emergency arrangements.
- Ensure all visitors are escorted while on-site by a relevant member of the Unilever Team.
- Issue security passes.
- Instruct visitors that visible identification must be worn on a lanyard or belt clip at all times.
- Manage a suitable and secure storage for visitors’ belongings, as required.
- Ensure visitors are signed in and out.
- Notify hosts that their guests have arrived.
- Direct visitors to their meeting venue.
- Refuse entry to persons who have not been pre-registered or where the host is not contactable.
- Take care of transportation arrangements, and that the staff and visitors are kept informed on the status. This also includes providing assistance in resolving all non-arrivals of taxi or chauffeur cars that had been booked via the Unilever-agreed booking platform.
- Keep the reception area tidy.
- Operate Visitor Management System and Event Management System, Rendezvous (ie; specific to HR Learning).
- Record daily visitor numbers and issue guest Wi-Fi passwords.
- Manage the storage of visitors’ belongings.
- Act as an advisory service to visitors regarding site facilities, transport links and local area amenities. All reception and switchboard staff will maintain a good working knowledge of the local area so that they can readily advise individuals on services and amenities that they may require.
- Maintain close links with the Security Department to ensure safety of the staff and visitors on site.
- Ensure that the furniture at the lobby and reception area, carpets, daily newspapers and weekly magazines are placed at proper designated areas at the reception.
- Work with the site communications personnels in the upload of announcements to the IPTVs, as required.
