**Administrative Executive**

**Development Department**

The Administrative Executive will play a vital role in supporting the Head of Development and

three critical departments, contributing to the organization's success in fundraising,

partnerships, volunteer engagement, and corporate communications. The role offers the

opportunity to work in a dynamic and mission-driven environment, making a meaningful

**Job Description**:
**Responsibilities**:

- Assist the Head of Development to coordinate and organize meetings, including

scheduling, agenda preparation, and minute-taking for the Fundraising and
Philanthropy, Strategic Partnerships and Volunteer Management, and Corporate
Communications departments.
- Provide administrative support for department-specific activities, such as event

planning, fundraising campaigns, volunteer recruitment, and partnership initiatives.
- Prepare and review documents, reports, presentations, and correspondence as

required by the Head of Development and the supported departments.
- Maintain accurate records and databases related to donors, volunteers, partners, and

communication materials, ensuring data integrity and confidentiality.
- Facilitate communication between departments, ensuring information flows smoothly

and efficiently to support collaborative efforts.

- Manage the procurement processes such as raising purchase requests for products

and services, liaising with suppliers and maintaining accurate records.
- Assist in budget tracking and expense reporting for departmental activities, maintaining

- Handle administrative tasks, such as filing, photocopying, and office supply

management, to maintain an organized and efficient work environment.
** Other Duties**
- Undertake other ad-hoc projects and duties as required

**Requirements**:

- Meticulous, highly motivated, and resourceful team player with a positive attitude in

problem solving and analytical skills
- Good organisational skills, careful attention to details and result-oriented
- Team player with strong inter-personal skills who can rally and mobilise people around

- Strong written and verbal communication skills in English
- A passion to learn and serve in special needs sector, and being resilient with a start

**Education and Experience**:

- Bachelor's degree in Business Administration, Communications, or a related field

preferred with at least 2-5 years working experience.
- Proven experience in an administrative or executive support role, preferably within a

non-profit or development-focused organization.
