Account and Admin Executive

We are an established local company providing full range of quality renovation services with highly skilled in house professional. With over 3000 satisfied clients, we can take on small to big scale residential to commercial renovation projects.
This person will report directly to the Finance Manager.
**Responsibilities**:
- Perform daily finance transactions and functions, (AP, AR, GL, Bank reconciliation etc) in accounting software to ensure accuracy and completeness of accounting records.
- Ensure accounting operations are carried out in accordance with internal accounting procedures
- To maintain a filing system of accounting record with proper supporting documents, verifying and posting accounting transactions while maintaining confidentiality.
- To prepare financial reports and forecast of organisation’s financial position such as income statements, balance sheets and analyses of future earnings and income
- To prepare monthly budgets based on the necessities of the business
- To improve the financial controls within the organisation
- Manage month-end and year-end closing internal organization processes in a timely manner.
- Managing and processing claims and reimbursements by internal staff and external vendors.
- Manage company’s liabilities (e.g. insurance premium)
- Participate in payroll processes
- Provide assistance to the directors and other team members on office administrative matters
- To carry out all other reasonable tasks and responsibilities as assigned by the management
- Issue quotation and invoices, ensure invoices have been issued for all job site on timely manner
- Follow up quotation status and feedback
- Update and prepare electrician schedules. Ensure they are invited to the telegram group for each job site before job commencement
- Follow up deposit before job commencement and final payment upon completion actively
- Liaise with internal (e.g. colleagues) and external parties such as subcontractor, vendors, IDs and home owners
- Monitor material usage and order materials
- Check prices of supplier’s invoices and updating material price list
- Prepare commission slip
- Follow up customer review upon job completion
- Managing and processing claims and reimbursements from team members
- All finance related duties as and when required
- Maintain cleanliness of showroom/office/warehouse
- Any other adhoc duties when assigned
**Requirements**:
- Degree in Finance, Accounting, or relevant field.
- Proven work experience as a Finance Administrator, Finance Assistant or similar role
- A minimum of 2 years' working experience in a similar role.
- Hands-on experience with accounting software, like Autocount
- In-depth knowledge of financial regulations and accounting processes.
- Good understanding of bookkeeping procedures
- Advanced knowledge of MS Excel (creating spreadsheets and charts and using financial Excel functions)
- Strong analytical, organizational and time management skills.
- Meticulous and confidentiality
- Assist in problem solving, recommend improvements on the process flows and controls
- Working with positive attitude.
- Relevant work experience in admin or customer service is preferred, those without will also be considered.
- Self-motivated individual who is efficient and strong problem-solving abilities
- Must keen to learn
- Good communication and people skills.
- Good punctuality and time management skills
- Able to work in a team and independently as well.
- Adaptability
- Must be able to communicate in English and Mandarin (Any additional language skill is an advantage)
**Job Types**: Full-time, Permanent
**Salary**: $2,000.00 - $3,000.00 per month
