Operations and Admin Executive

We are looking for an Operations and Admin Executive to support the day-to-day activities of Human Resources and Admin department. You will act as the first point of contact for Admin-related queries from employees and external partners.
Ultimately, you should be able to ensure our HR Admin department supports our employees while conforming to labor laws.
**Responsibilities**
- Assist in retail outlet daily operation requirement such as renew phone line and data plan contract for each outlet
- Renew SFA license and arrange pest control service for all outlet
- Liaise with external partners, like insurance vendors, and ensure legal compliance
- Update internal databases (e.g. record sick or maternity leave)
- Answer employees queries about HR-related issues
- Assist payroll department by providing relevant employee information (e.g. leaves of absence, sick days and work schedules)
- Participate in HR projects (e.g. help organize a job fair event)
- Perform administrative tasks including keeping record of the contracts and agreements, maintain Operations documentations, assist in monthly billing, invoicing and payment, etc.
- Coordinate with landlord for special requests/appeals eg. Pre-termination request, replacement request, etc., in accordance with Company’s policy and SOP.
- Purchase stationery, pantry top-up items and ensure the clean uphold the cleanliness of the company.
- Manage and coordinate with IT assets ordering
- Assist in dealing with the paperwork related to retail business management.
- Liaise and follow up closely with internal and external parties to ensure works are carried out in accordance to operational requirements.
- Develop training and onboarding material
- Assists in day-to-day duties as assigned
**Requirements**:
- Good verbal and written communication skills
- Minimum Diploma in Human Resource Management / Business Administration
- Min 1-2 years of relevant working experience in HR Administration
- Resourceful, well organized, meticulous and proactive
- Able to work independently with minimum supervision
- Committed to complete tasks/ provide updates in a timely manner
- Fluent in both English & Chinese (in order to communicate / to conduct orientations to new English and Chinese speaking employees.)
- Able to start work immediately is preferred.
