System update
- To get Finance approval on supplier creation by providing relevant Supplier name, Supplier address, contact person, etc.
- To work with the Regional IT team for New Product Creation and New Vendor Creation
- To coordinate with Chef to maintain the recipe in the Inventory System (CHECK SCM).
- To update the Inventory System (CHECK SCM) and Contract Management (CHECK SCM) with supplier information, pricing, quotation, Unit of Measure, etc
- Purchase order management.
- To collect the Purchase Requests sent by the operations and to select the suppliers based on pricing, Minimum order quantity / amount, delivery schedule, order lead-time, etc (where pricing is the key factor to consider)
- To issue Purchase order to the chosen suppler(s) on a timely manner to avoid delay in deliveries.
- To measure service level of suppliers (in terms of “on time delivery”, “delivery in full”, “product shelf-life requirements”, “product quality”, etc)
- To follow up the deliveries and discrepancies with vendors. Follow up credit notes with vendors. To verify and match all the Purchase Order (PO) and Delivery Note (DN) and invoices, and submit to the Finance Department

Other Procurement work
- To coordinate with franchise to get item and price list to be prepared for store opening.
- To manage purchase cycle and order quantities of the product, to ensure proper management and control of inventory. Liaise with finance department with regards to cycle count and inventory reconciliation.
- To work with the Assistant Procurement Manager on supplier selection process and to get quotation for comparison.
- To work with the Assistant Procurement Manager on inflation tracking and benchmark with Market price and Country CPI
- To monitor and calculate the rebate from supplier to make sure a good process in place for proper collection and tracking.
- To maintain and update vendor and contract database and to ensure proper documentation of all purchasing and procurement documents. Any other ad-hoc duty assigned by the Assistant Procurement Manager

**Job Requirements**

Educational Qualification / Experience / Skills and Competencies Requirements:

- Diploma in Accounting/Purchasing/Supply Chain or equivalent with at least 2 years’ relevant experience
- Prior working experience in Retail / F&B is a bonus Exposure is Inventory System, ERP, SAP is a bonus

- Able to work independently under fast paced environment.
- Organized and able to multitask.
- Excellent active listening, good communication and interpersonal skills
- Positive working attitude and attention to details
- Able to take ownership of projects, solutions orientated and can-do attitude.
- Proficiency in Mandarin is a bonus (in order to handle queries from Mandarin speaking counterparts in regards with the inventory, purchase price, vendors’ evaluation and other operational matters)
