**Job Overview**:
Managing FM operational activities for Singapore office
**Main Job Responsibilities**
- Managing the following as part of FM Operations
- Maintaining Clean and hygienic office environment.
- Air-conditioning and related AMCs
- Coffee machine and related agreements.
- Drinking Water and related agreements
- Housekeeping and related agreements
- Regular pest control/ Carpet cleaning/ shampooing/Chair cleaning
- Access Control
- ID cards
- Office Security
- Regular, major & minor Repairs and Maintenance
- CCTV
- Vendor co-ordination, liaising with authorities as and when required.
- Manage, Monitor and Guide support staff reporting to this position.
- AMC management for office equipments and machineries.
- Co
- ordination with FM related service providers.
- Maintaining Monthly MIS. Assisting in tracking all FM related expenses.
- Attending FM related ISO/ other certification audits and make sure audit queries raised (if any) are closed on time
- Liaise with Landlord as and when required
- Liase with relevant Stakeholders on regular basis and understand needs and provide necessary support.
- Asset management (asset listing, insurance of FM assets etc.).
- Provide necessary support on FM related procurement.
- Review and processing of FM Invoices (rent, electricity, water, stationery, coffee/ tea, cleaners, HK materials, AMCs, etc.)
- Compliant with all applicable policies and processes for all activities under FM
- Manage internal office moves
- CSR reporting (Electricity/ heating/ cooling etc... as required)
- Provide information for Space usage database and related
- Vendor management for all FM related vendors
- Monthly review of spends and identifying opportunities to optimise spend wherever possible
- Monthly seat utilisation reports
- Support on time to time requirements under H&S
- Review of all FM infra items on regular basis to identify any maintenance requirement in advance
- Support on office expansion/ renovation projects and any other relevant FM projects.
- Managing building infra.
**Qualifications**:
**Required Knowledge & Skill**:
- Proficiency in MS office
- Communication Skills in Local language and English
- Ability to work independently, with little or no supervision.
- Ability to maintain detailed records.
- Ability to communicate effectively both written and verbal.
- Ability to work effectively under stressful conditions.
- Proven managerial skills
- Highly ethical
- Quick learner and Service minded
- Flexible in terms of responsibilities
- Ability to work as a team member
- Collaborative
- Proactive
- Ability to work with people from various culture
**Qualification and Experience required**:
- Any Graduate.
- 10+ years relevant work experience.
- Working experience with moderate sized MNCs
- Good Commercial sense
- Good negotiation skills
