Office Services Associate

Responsible for providing a range of office services (mailroom and records management) at a client site.
Job Responsibilities:
- To provide high quality administrative support to business by performing/processing tasks not limited to but including:
- Scan, sort and index documents according to procedures
- Perform data entry of materials from source documents to system
- Support record management and all other duties assigned
- Prompt response to client’s queries, such as assist clients in locating files
- Ensure accuracy, integrity and completeness of data
- Perform printer, mail, and/or other ad hoc general administrative duties as needed according to established procedures
- Sort, distribute, and log registered mail
- Sort and stamp outgoing mail
- Deliver special packages and rush packages
- Utilize all logs as required by client
- Use equipment and supplies in a cost-efficient manner
- Place service calls when needed
- Fill-up paper in all convenience copiers and printers, providing first line trouble-shooting and maintenance
- Maintain workplace equipment
- Prioritize workflow
- Place service calls when needed
- Keep workplace tidy
- Contribute to the team through cooperation and participation
- Communicate with supervisor or client on job or deadline issues
- Communicate and interact with clients and colleagues in a professional, positive and courteous manner
- Communicate effectively with and update manager on a timely manner
- Inform coworkers of pertinent information
- All other duties as assigned
Skills Required:
- Strong interpersonal communication skills
- Able to follow delivery commitments to client
- Basic knowledge of the PC platform
- Knowledge of Microsoft Office software suite (Word, PowerPoint, Excel
- Attention to detail
- Work well in a team environment
- Maintain confidentiality and exhibit professional decorum at all times
- Strong customer service and interpersonal communications skills
- Good problem-solving skills
- Able to learn and conform to any new work procedures
- Able to work in a demanding environment and independently
- Willing to work overtime (incl. weekends and holidays) at mínimal notice
