Overview:
You are required to support the senior management with administrative tasks, managing front office activities, maintaining office supplies, handling mail, and vendor management. The position also includes organizing company events and providing hospitality to visitors.
**How You’ll Make an Impact**:
- Oversee office administration and maintenance activities including upkeep of office equipment, procurement and issuing of office supplies, consumables, and stationery, handling vendors for weekly replenishment/maintenance, mail collection and distribution, courier arrangements, issuance of access cards, professional handling of incoming calls, and maintaining inventory records to prevent shortages or excess.
- Plan and organize company events, staff welfare activities, gatherings, town halls, etc.
- Create and manage purchase orders, ensuring timely vendor payments to maintain a well-stocked pantry and office.
- Ensure office environment remains consistently clean, tidy and orderly.
- Assist with employee onboarding and offboarding processes.
- Maintain proper documentation and records.
- Manage vendor relationships, source new vendors and suppliers, review the competitiveness of existing vendors and suppliers, and track office equipment lease agreements.
- Provide administrative support to Assoc VP Manufacturing, Assoc Dir Manufacturing and his management team, including but not limited to travel arrangements, calendar management, meeting organization, and the collation and preparation of information and presentation materials for executive meetings.
- Extend hospitality to executive business partners and visitors from both local and international locations.
- Perform ad-hoc duties as required.
**What You Bring**:
- Diploma in Business Administration or related disciplines
- At least 5 years of relevant working experience in office administration with travel arrangement knowledge
- Independent, meticulous, resourceful, good time management and ability to prioritize
- Possess knowledge in travel arrangement
- Good communication, interpersonal skill and negotiation skills
- Knowledge of SAP PR & PO would be an advantage
- Able to multi-task and work well under pressure and strict timeline
