**Summary of Company**
Concord Energy Pte Ltd was incorporated in June 1998 as an oil trading company. Its management is well entrenched in the oil trading fraternity combined experiences in various aspects of oil refining, international oil trading and oil finance. This gives the company the necessary breath, depth and understanding of oil trading and oil finance.
Such background has enabled the company to build a strong presence in oil producing regions such as West Africa, Mediterranean, Arabian Gulf, and the Asia Pacific. Through the network built by team, the company has garnered support from various trading partners, refiners and end receivers to build a steady flow of cargo movement.
**Overview of Role**
The Administrative Executive will report to the HR team. The role will represent the office to welcome, direct and attend to visitors as appropriate, and be responsible for general office administration including office supplies requisition, vendor management, courier services and travel related support. The role will assist senior management staff with administrative matters including expenses collation and submission.
**Main Responsibilities**
- Provide overall support to the CEO
- Provide general administrative support to the office, handle general services and office facilities management
- Ensure safe and clean office environment
- Handle stationery and pantry supplies, collect mails, manage incoming and outgoing mail
- Arrange local and overseas courier shipments
- Preparation of expense reports, including collation and submission
- Welcome/ receive guests and attend to guests when required
- Attend to all calls promptly, forward and take messages politely
- Attend to other ad-hoc duties as directed
**Profile**
The individual should have the following experience:
- Minimum of 3 years relevant experience
- Prior experience supporting large teams
- Prior experience processing expenses claims preferred
- Proactive, responsible, resourceful and independent
- Well-groomed with good written and verbal communication skills
- Able to multi-task and work in a fast paced environment
- Flexible attitude/ driven, self-motivated and goal orientated
- Team player; able to build relationships across the group
- Good written and spoken English and Mandarin (to liaise with mandarin-speaking clients)
