Admin/accounts Executive

**Role Purpose**:
- To provide admin and accounts support services to a client that is a registered charity. To ensure administrative and accounting activities are in compliance with company policies and accounting regulations.
**Key Accountabilities**:
**Administrative Support**
- Assist the team with meetings logistics and coordination, as and when required, including scheduling of meetings, booking of venue, preparing of interview files, checking documents to ensure completeness, verifying applicants’ information, liaising with Directors, PAs and applicants.
- Draft letters of award for recipients of scholarships/sponsorships.
- Assist with keeping track of board resolutions.
- Assist with filing, scanning/photocopying, courier arrangements, and archiving of documents.
- Assist with other admin functions and ad hoc assignments.
- Willing to use digital tools to replace manual processes.
**Accounts Support**
- Support the preparation of monthly journals, month end close schedules and bank reconciliation in a timely manner.
- Update and monitor payments due date for scholarship recipients.
- Issue receipts for donations received timely.
- Liaise with different teams regarding payment and receipt matters.
- Record payments and receipts into accounting system accurately.
- Update and monitor Fixed Deposits schedules and prepare instructions for the bank.
- Assist with internal and external audits.
- Assist with other accounting related duties and ad hoc assignments. Ensure compliance with company policy and procedures.
**Qualification, Competencies/ Other Requirements**:
- Minimum Diploma in Accountancy, with experience in full set of accounts.
- Min 2 years of relevant working experience.
- Proficient in Microsoft Excel & Word, Adobe PDF and ABSS accounting software.
- Responsible and take initiative to follow up on tasks.
- Good verbal and written communication in English language.
- Meticulous, positive attitude and willing to learn.
