Job Responsibilities and Duties: -

Front Desk & Visitor Management

  • Greet and assist visitors, vendors, and guests in a courteous and professional manner.
  • Manage visitor registration and access in compliance with building and company security procedures.
  • Serve drinks to visitors, vendors and guests; clear the meeting room after each meeting
  • Handle incoming phone calls, route them to the appropriate personnel, and take accurate messages when necessary.
  • Coordinate meeting room bookings and ensure readiness (cleanliness, refreshments, and equipment setup).

Mail & Courier Handling

  • Manage all incoming and outgoing mail, parcels, and courier deliveries.
  • Maintain a proper record and tracking of dispatch and delivery logs.
  • Liaise with courier vendors to ensure timely and cost-effective service.

Office Administration Support

  • Assist with office supplies and pantry stock management — monitor usage, raise purchase requests, and coordinate replenishment.
  • Support company events, meetings, and employee engagement activities (e.g., town halls, celebrations, training).
  • Coordinate with vendors for maintenance and repairs (e.g., cleaning, pest control, equipment servicing).
  • Assist in maintaining the general tidiness and professional appearance of the reception and common areas.
  • Prepare administrative documents such as visitor logs, attendance sheets, and vendor service records.
  • Support the Office Manager with procurement and filing of invoices, delivery orders, and service agreements.
  • Maintain records of office access cards, parking labels, and employee ID issuance.
  • Handle ad-hoc administrative tasks assigned by the Office Manager or HR team.

Health, Safety & Compliance

  • Support emergency procedures such as visitor evacuation and safety briefings.
  • Assist in maintaining first-aid and fire-warden contact lists.
  • Ensure reception operations comply with company policies, data privacy, and landlord regulations.

Requirements: -

  • Strong communication skills and a positive, proactive work attitude.
  • Minimum of 3 years' relevant experience and above in front desk/receptionist, customer service and general administration.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and hands-on using IT systems.
  • Basic first-aid knowledge is an advantage.
