Position: Property Officer (Defects Management) – Marina One
Department: Property Management
Basic Salary: $3,900
Duration: ASAP – 1 Year Contract
Location: Marina One

About the Role:
As a Property Officer, you will be responsible for managing all aspects of a single property, including marketing, operations, and financial activities. A key part of this role is handling defects management, ensuring that issues are addressed efficiently and effectively.

Key Responsibilities:

  1. Investigate sources of water leakages/seepages and refer issues to the relevant sub-contractors (under warranty). In case of disputes, support your findings with drawings/photos of the site and ensure the ability to read and interpret shop and construction drawings.

  2. Prior experience in managing building defects and liaising with parties such as developers, main contractors, and sub-contractors is preferred.

  3. Follow up closely and independently to ensure sub-contractors attend to necessary repairs and maintenance.

  4. Preferably possess a background or experience in construction.

Additional Responsibilities:

  • Assist tenants with their needs and ensure quick resolution of issues.

  • Ensure all services adhere to agreements, rules, and company standards.

  • Conduct property visits with the team, recommending changes, repairs, and upgrades.

  • Assist with administrative duties such as creating purchase orders, submitting invoices for payment, and forwarding invoices to accounting. Ensure the accuracy of vendor invoices.

  • Help in creating the budget by researching prices for supplies and services and generating reports.

  • Coordinate tenant move-ins and move-outs, reviewing tenant bills for distribution.

  • Assist with the preparation of common area maintenance dues, invoices, and related correspondence.

  • Manage tenant events and oversee the publication of the tenant newsletter.

  • Analyze data to identify and resolve complex issues and recommend new solutions or techniques.

  • Suggest improvements to existing processes to enhance team efficiency.

Requirements:

  • High School Diploma or GED with at least 2 years of relevant experience.

  • Retail or commercial experience is a strong advantage.

  • A comprehensive understanding of processes, procedures, and systems within the job function is required.

  • Strong communication skills to evaluate and articulate complex issues in a clear and logical manner.

  • Proficient in Microsoft Office (Word, Excel, Outlook).

  • Strong organizational skills and an inquisitive mindset.

  • Experience in defects management.

  • Ability to commit to a 5.5-day work week.
