What you'll do:
As a Senior Office Manager, you will be entrusted with overseeing comprehensive administrative functions within the President's Office. - Administer all purchasing activities for the President's Office by maintaining an up-to-date assets list, conducting annual reviews with the finance department, raising purchase orders for equipment and supplies, and sourcing suitable vendors as required.
- Oversee logistical needs such as coordinating maintenance for the President's car, handling road tax and insurance matters, and arranging servicing appointments to ensure smooth daily operations.
- Manage office access protocols efficiently to maintain security and facilitate seamless entry for authorised personnel.
- Monitor the President's Office budget closely by tracking expenditures, supporting research personnel matters, and assisting with budget-related queries or adjustments as needed.
- Draft correspondence on behalf of the President including welcome messages, congratulatory notes, and internal communications directed at the university community.
- Maintain the intranet site for the President's Office by updating content regularly and managing distribution lists to ensure effective communication within the institution.
- Assist with ad hoc printing requirements for the President's Office to support ongoing projects or urgent requests promptly.
- Organise and manage events hosted by the President's Office such as student lunches, faculty gatherings, seminars, conferences, and other special occasions requiring meticulous planning and execution.
- Provide backup cover for both the Executive Assistant and Personal Assistant when necessary to ensure continuity of service during absences or peak periods.
- Undertake additional administrative duties as assigned by the President to contribute positively to overall office efficiency.
