Job brief
We are looking for a responsible Administrator to organize our company's day-to-day operations. Your job will be to provide clerical support to our managers and employees and coordinate all daily administrative activities.
The Administrator should be highly organized and able to multitask with ease. The Administrator's main tasks include managing office equipment, booking meetings and events. Our ideal candidate has experience as an Office Administrator, Secretary or relevant administrative role. You should also be familiar with office software (e.g. MS Office), including word processors, spreadsheets and presentations.
Ultimately, a successful Administrator should be able to ensure our office procedures run smoothly.
Role and responsibilities
· Screen incoming phone calls and deal with customers' enquiries courteously and professionally by providing accurate information to the callers.
· Receive all visitors professionally and to assist them with enquiries on behalf of the company.
· Always ensure the tidiness and cleanliness of the reception area and meeting rooms.
· Maintain office supplies and manage office inventory.
· Perform data entry of all invoices, purchases and expenses.
· Coordinate with sales and engineer on issuance of invoice and products/equipment to customer.
· Liaise and coordinate with suppliers and forwarder on shipment.
· Process claims by staff and manage petty cash.
· Systematically filing important company documents.
· Assisting the HR department with job postings.
Requirements:
· At least A Level and above
· Proficiency in all Microsoft Office applications.
· Proven experience as an Administrator, Administrative Assistant or relevant role
· Excellent organizational and time-management skills
· Exceptional customer service skills.
