Job Purpose:
Greeting guests and show them the correct way to the various companies located on the premises. Gives a good first impression and maintains professional relationships with clients and visitors. Answer inquiries and obtain information for employees, visitors, and other interested parties. Provide information regarding activities conducted at the establishment, location of departments, offices, and employees within the organization.
Job Scope:
Front Desk & Visitor Management
Welcome and greet all visitors, staff, clients, and vendors in a courteous and professional manner.
Maintain a neat, presentable reception area aligned with Tetra Pak's corporate image.
Manage the visitor logbook, issue visitor passes/access cards and notify hosts.
Confirm visitor identity and follow security protocols including OHS declarations.
Assist in guest check-in during events and distribute badges or gifts as needed.
Ensure reception area cleanliness and availability of branding materials.
Call & Communication Handling
Answer incoming calls.
Record and relay accurate messages with caller details and purpose.
Provide general information and assistance to walk-in guests and phone inquiries.
Courier & Mailroom Duties
Receive and log incoming mail, packages, and courier deliveries.
Send and log outgoing mail, packages.
Distribute items to appropriate recipients in a timely manner.
Arrange and track outgoing courier services (local and international).
Maintain logs and liaise with courier vendors to ensure SLA compliance
Administrative & Onboarding Support
Support new hire onboarding by issuing ID cards and welcome kits in coordination with Tetra Pak HR team.
Assist with locker assignment and access card distribution.
Ensure proper records are kept for ID issuance and returns.
Emergency Preparedness & Security Compliance
Enforce visitor screening protocols and maintain confidentiality.
Act as assembly point leader during evacuation drills and real events.
Report suspicious activity and support FCC/security with restricted area access.
Any other ad-hoc duties or tasks assigned by General Service Manager.
