Ngee Ann Academy is a leading private education institution (PEI) that partners with prestigious and top-ranking universities across the world to provide high-quality tertiary education (university degree programmes) in Singapore since 1998.

Job Summary

This role supports the delivery of quality student services and programme administration for both university partner programmes and SSG Short Courses. This includes supporting admissions processes, managing courses and assessment administration, fee processing, and providing frontline support to students and lecturers. The position also contributes to student engagement and retention through coordination of activities, events, and communications that enhance the overall student experience.

Principle Duties and Responsibilities

1. Admission Processing

  • Assist with programme application processing when submitted by the Admission/ Student Recruitment Team for university partner programmes and SSG Short Courses, where applicable.
  • Prepare Student Contracts and Acceptance Forms for the Admission/ Student Recruitment Team to send to applicants.
  • Liaise with university partners and SSG authorities for student matriculation/ acceptance into their respective systems.

2. Student Support Services

  • Manage Front Counter operations - Student cards and certificates collection
  • Provide advice and assistance to students and lecturers who need appropriate resources and support.
  • Liaise with external vendors to provide resources to support staff and students.

3. Instalment Billings, issuance of Official Receipts and Fee Protection Scheme (FPS)

  • Generate fee instalment invoices from the School Management System (SMS) and issue Official Receipts for every payment received for university partner programmes and SSG Short Courses.
  • Track all fee payments and follow up on late payments.
  • Administer all FPS-related matters, including purchase, cancellation, and record updates for university partner programmes.

4. Course and Assessment Administration

  • Maintain confidential student data and records according to regulatory requirements for university partner programmes and SSG Short Courses.
  • Assist with:

  • ICA Student Pass application, renewals , or cancellation

  • Module enrolment
  • Applications for course withdrawal, leave of absence, and programme transfer
  • Examination logistics
  • Student notification and updates of student particulars
  • Prepare Attendance Registers before the start of modules, orientations, or workshops; track and monitor attendance.
  • Monitor students' academic progression and provide necessary intervention support or escalation.
  • Serve as meeting minutes taker and follow through on assigned action items.

5. Student Engagement

  • Plan and support non-academic training, development programmes, and activities for students and alumni of university partner programmes.
  • Prepare Student Services materials (e.g., presentations, EDMs) to promote engagement events.
  • Support student engagement activities, including graduation, orientation, and student-led initiatives.
  • Implement initiatives to keep students motivated and strengthen their overall experience and loyalty.
  • Assist with student/ trainee surveys and feedback collection to support continuous improvement of programmes and services.

Requirements

  • Diploma or Degree in any discipline
  • Minimum one year work experience in a PEI – prior experience in a frontline/reception function would be advantageous
  • Good interpersonal and communication skills
  • Meticulous and organized
  • Resourceful and customer service oriented
  • Must be a team player
  • Willing to work shifts and weekends when necessary (compensatory time off will be provided)
